Estimate how much time you could save each month switching EHRs
See what fewer no-shows + faster notes could mean for your practice
Why use this calculator?
Switching EHRs is a big decision. This calculator helps you put real numbers behind the potential impact — so you can make an informed choice.
Most therapists underestimate how much time they lose to documentation, intake admin, and no-shows. Even small improvements in these areas compound into meaningful hours and dollars each month.
How it works: Enter your current practice numbers, adjust assumptions to match your expectations, and see a personalized estimate of potential savings.

How the estimates are calculated
The calculator uses three straightforward models:
1. Notes time savings
We take your current minutes-per-session on notes, multiply by your weekly sessions, and apply the time-savings percentage you set. Even a 10% improvement on 15-minute notes across 25 sessions adds up quickly.
2. Admin/intake time savings
Your weekly admin hours (intake, scheduling, billing) are reduced by the admin-savings percentage. Automation of intake forms, appointment reminders, and billing workflows drive these savings.
3. No-show revenue recovery
We calculate your current weekly no-shows from your session count and no-show rate, then apply the reduction percentage. Automated reminders, easy rescheduling, and waitlist features help recover these sessions.
All monthly figures use 4.33 weeks/month. Dollar ranges show +/-20% to reflect real-world variability.
